Task Management in Drova GRC

Overview

The Task Management feature in Drova GRC allows you to create, schedule, and track activities across all modules — such as Compliance, Risk, Audit, and Incident Management.
Tasks help ensure that important actions are completed on time and by the right people.

This article explains the difference between Tasks, Current Tasks, and Repeating Tasks, how they work together, and how they appear in your Drova platform.

📋 What is a Task?

A Task in Drova is an instruction, directive, or “To-Do” item that is scheduled to be completed by a specific date.

A Task acts as a template that defines:

  • What needs to be done (Description)

  • Who needs to do it (Actioned By Positions)

  • When it needs to be done (Scheduling and Reminder Dates)

Tasks can be:

  • Repeatable, running on a recurring schedule (e.g., weekly, monthly, annually), or

  • Ad hoc, for one-time requirements.

Each Task contains key details such as:

  • Details Tab:

    • Description and (optional) Outcome

    • Attachment requirements

    • Indicators for Blind Task (for confidential actions) or Critical Task (for end-date reminders)

  • Schedule Tab:

    • Date Calculation Type (Specific Date, Day of the Week, or Working Day)

    • Frequency (e.g., monthly, quarterly)

    • Next Due Date

    • First Reminder Date – also called the Create Current Task date

    • Second Reminder (optional)

    • Assigned positions (Actioned By)

    • Owner / Escalation positions

    • Any Custom Fields configured by your Administrator

💡 Tip: Think of a Task as the blueprint that defines the work — not the work itself.


✅ What is a Current Task?

A Current Task is an active task that is ready for action — your “To Do Now” item.

When a Task reaches its First Reminder Date (Create Current Task Date):

  • Drova automatically generates Current Tasks for each Actioned By position.

  • Each Current Task appears on the user’s My Summary → Current Tasks tab.

  • Users receive a notification email advising them that the task is ready to be completed.

Each Current Task is independent once created — meaning changes to the original Task setup will not affect already generated Current Tasks.

Example:
A compliance review task assigned to three positions will generate three separate Current Tasks, one for each position. Each user must complete their own task.

🔁 What is a Repeating Task?

The Repeating Tasks list displays your upcoming scheduled Tasks that have not yet been generated into Current Tasks.

When the First Reminder Date for a repeating Task arrives:

  • The system creates a Current Task for each assigned Actioned By position.

  • Users are notified of their new Current Tasks.

  • The newly generated Current Tasks appear in their Current Tasks list for completion.

🧩 Where Tasks Are Used in Drova

The task functionality is available across all Drova modules, including:

🔒 Tasks and Security

  • Any position with appropriate security access can be assigned as an Actioned By position.

  • Blind Tasks can be assigned to any position, with enhanced confidentiality.

  • Users typically complete their own Current Tasks, but those with the same security access level can view and complete each other’s tasks when required.

  • Users with the correct permissions can create and manage tasks across any module they have access to.

📩 Task Notifications and Timing

Drova uses a background monitor to generate and release Current Tasks automatically.

  • The monitor runs once daily (typically around 5:00 AM).

  • Tasks are released when they reach their Create Current Task date.

  • Users receive an email notification when a new Current Task is created for them.

If you need a task to be released immediately, administrators can manually run the Monitor Log from the Maintenance → Main Menu.

🗂️ Viewing and Completing Current Tasks

To access your Current Tasks:

  1. Go to the Main Menu → My Summary.

  2. Select the Current Tasks tab.

  3. View all active tasks assigned to your position.

When a Current Task is completed, it is:

  • Removed from the Current Tasks list

  • Logged in the Task History, providing a full audit trail of completed actions

⚠️ Note: The Current Tasks list will be empty if you currently have no open tasks assigned.
