How to Extract Ad Hoc (Excel) Reports from Any Module

To access the Reports module, you need to have Admin Rights. Only users with Admin Rights can access this module. If you are an Admin user, follow the steps below to access the Reports module:

  • Select Reports Main Menu option as shown below:

  • From the Reports Main Menu, select the module you want to generate a report from. For example, if you choose the Compliance module, you can generate reports on various compliance-related processes and histories.

  • For this article I am choosing Process controls (Tasks) AdHoc report.

  • A new page will appear displaying all tasks related to your selected sub-module.

  • To narrow down the data, use the Filter icon. You can filter by various criteria such as 'Actioned by' or 'Record Number'. As shown below:

Filtering allows you to customize your report to meet specific needs. For instance, you can filter the report to display only a particular category or to show actions performed by a specific user under "Actioned by." This flexibility enables you to refine the data precisely before extracting the report.

  • Hide/Show columns: We offer a feature that allows you to adjust columns, add new ones, or remove any unwanted columns before extracting the report.

  • Select the desired column you would like to see in your report.

  • Saved Layout functionality: Once you have created a layout that you are happy with, you may want to save it for future use. This can be done easily by using the "Saved Layouts" option located in the top right-hand corner of the screen.

    Saving a layout can be useful when you need to use the same filtered report for reporting purposes. Instead of having to recreate the layout each time, you can simply access the saved layout and use it as a template for your report.

    By saving layouts, you can save time and effort when creating reports, as well as ensure consistency in your reporting. So go ahead and start saving your layouts today!

  • Stay on the same reports layout page and click on the menu icon located at the top right corner of the page.

  • From the drop-down menu, select the "Export" option.

  • This will give you three options to download the report:

  • Choose the option that best suits your needs and click on it.

  • The report will then be downloaded to your system, and you can access it whenever necessary.
